This Privacy Policy explains how Emusio collects, uses, stores, discloses, and protects personal information when you use:

  • Emusio mobile applications

  • Emusio music lessons, courses, masterclasses, events, communications, and related services

Emusio is operated by Hello Music Studios Pty Ltd, trading as Emusio ("Emusio,” "we,” "us,” or "our”).

By accessing or using Emusio, you acknowledge that your personal information will be handled as described in this Privacy Policy.

2. Personal Information We Collect

The information we collect depends on how you use Emusio. It may include:

Account and contact information

  • First and last name

  • Email address

  • Mailing or billing address

  • Date of birth or age range, where required

  • Profile photograph

  • Parent or guardian details for users under 18

Teacher and professional information

If you register as a teacher, mentor, accompanist, performer, or other music professional, we may collect:

  • Qualifications, degrees, and certificates

  • Professional experience

  • Biography and profile information

  • Instruments, subjects, and services offered

  • Availability and location

  • Working with Children Check or similar information, where applicable

  • Identity, tax, banking, and payment information needed to process payments or meet legal obligations

Booking and transaction information

We may collect information about:

  • Lessons, courses, events, or other services you book or provide

  • Booking dates, times, attendance, cancellations, and completion

  • Prices, fees, refunds, credits, and payment status

  • Communications relating to a booking or transaction

Payments are processed securely by third-party payment providers. Emusio does not ordinarily receive or store your complete credit or debit card number.

Lesson and learning information

Depending on the features you use and the permissions provided, we may collect or process:

  • Lesson notes and learning objectives

  • Practice assignments and progress information

  • Messages exchanged between teachers, students, and parents or guardians

  • Audio, video, or other lesson content

  • Lesson transcripts

  • AI-generated lesson summaries and practice notes

Where a lesson may be recorded, transcribed, or processed using artificial intelligence, users will be informed through the platform, the booking process, or another appropriate notice. These features should only be used with the necessary permission of the lesson participants or, where applicable, their parent or guardian.

Event and marketing information

When you register for an event, competition, audition, masterclass, newsletter, or promotion, we may collect:

  • Registration and application details

  • Performance materials

  • Photographs, audio, or video submitted by you

  • Marketing preferences

  • Survey responses

  • Information required to administer the relevant activity

Technical and usage information

When you access Emusio, we may automatically collect:

  • IP address

  • Device type and identifiers

  • Operating system

3. How We Collect Personal Information

  • From a teacher, student, accompanist, organisation, or event partner involved in providing a service to you

  • From Google when you choose to use Google Sign-In

  • From service providers that support our platform and transactions

Where practical, you may choose not to provide certain information. However, this may prevent us from providing some features or services.

4. How We Use Personal Information

We may use personal information to:

  • Create, administer, and secure user accounts

  • Authenticate users

  • Connect students, teachers, mentors, and other music professionals

  • Arrange and manage lessons, bookings, courses, masterclasses, and events

  • Process payments, refunds, fees, credits, and teacher payouts

  • Provide online lesson and communication functionality

  • Generate lesson transcripts, summaries, and practice notes where these features are enabled

  • Provide customer support and respond to enquiries

  • Communicate important service, booking, payment, and account information

  • Send newsletters, promotions, and event information where permitted

  • Personalise and improve the Emusio experience

  • Monitor platform performance and resolve technical issues

  • Prevent fraud, misuse, security threats, and unauthorised access

  • Protect the rights, safety, and property of Emusio, our users, and others

We will not use personal information for a materially different purpose without providing appropriate notice and obtaining consent where required.

5. Google Sign-In and Google User Data

Emusio allows users to register for or sign in to the platform using their Google Account.

When you choose "Sign in with Google,” Emusio may receive the following information from Google, depending on the permissions you grant:

  • Your name

  • Your email address

  • Your Google profile image

  • A unique Google Account identifier

Emusio uses this information only to:

  • Create and authenticate your Emusio account

  • Allow you to sign in securely

  • Identify your account and maintain your user profile

  • Communicate with you about your account and the services you use

  • Prevent fraud, misuse, and unauthorised access

Emusio does not receive or have access to your Google password. Your Google login credentials are handled directly by Google.

Use of Google user data

Emusio does not:

  • Sell Google user data

  • Use Google user data for advertising

  • Allow third parties to use Google user data for advertising

  • Access information from a user’s Google Account beyond the permissions the user grants

  • Use Google user data for purposes unrelated to the user-facing features described in this Privacy Policy

Storage and protection of Google user data

Information received from Google may be stored securely as part of your Emusio account.

Where authentication tokens are stored, they are protected and used only to provide the Google-connected functionality authorised by the user.

We use reasonable administrative, technical, and organisational safeguards to protect Google user data against unauthorised access, alteration, disclosure, destruction, or loss.

Sharing Google user data

We do not sell, rent, or trade Google user data.

Google user data may be shared only:

  • With service providers processing information on our behalf and subject to appropriate confidentiality and data-protection obligations

  • When required by law or a valid legal process

  • When necessary to protect the rights, security, or safety of Emusio, our users, or others

  • With the user’s express consent

Retention and deletion of Google user data

We retain Google user data only for as long as necessary to:

  • Provide the Emusio service

  • Maintain the user’s account

  • Meet legal, taxation, accounting, or regulatory obligations

  • Prevent fraud or misuse

  • Resolve disputes

  • Enforce our agreements

Users may revoke Emusio’s access to their Google Account through the Google Account permissions page.

Revoking access prevents future access by Emusio but may not automatically delete information already stored within an Emusio account. Users may separately request deletion of their Emusio account and associated Google user data by following the instructions in Section 12.

Google API Services User Data Policy

Emusio’s use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. Artificial Intelligence and Lesson-Processing Features

Emusio may provide features that use artificial intelligence to process lesson-related information, including audio, transcripts, lesson summaries, practice notes, and suggested learning activities.

When these features are used:

  • Lesson information may be securely transmitted to contracted technology or AI service providers for processing

  • Information is used to provide the requested lesson or learning feature

  • AI-generated content may contain errors and should be reviewed by the teacher or user

  • Users should not include unnecessary sensitive personal information in recordings, transcripts, lesson notes, or prompts

Emusio does not permit AI service providers to use lesson information for their own advertising purposes.

Information about recordings or AI processing will be provided within the platform or through an appropriate notice where required.

7. Sharing Personal Information

We do not sell, rent, or lease personal information.

We may disclose personal information to trusted service providers that help us operate Emusio, including providers of:

  • Website and application hosting

  • Cloud storage and database services

  • Payment processing

  • Video conferencing and online lesson technology

  • Email and customer communications

  • Customer support

  • Data analytics and performance monitoring

  • Security and fraud prevention

  • Audio transcription and artificial intelligence processing

  • Professional, accounting, insurance, or legal services

These providers may access personal information only to perform services on our behalf and are expected to protect it appropriately.

  • To a teacher, student, parent, guardian, accompanist, event organiser, or service provider where necessary to fulfil a booking

Some service providers may process or store information outside Australia. Where this occurs, we take reasonable steps to ensure that appropriate privacy and security protections are in place.

8. Marketing Communications

With your consent or where otherwise permitted, we may send information about Emusio lessons, courses, teachers, events, products, services, and promotions.

You may unsubscribe from marketing emails by:

  • Using the unsubscribe link in the email

  • Updating your communication preferences, where available

You may continue to receive necessary service communications relating to your account, security, payments, or bookings.

9. Cookies and Similar Technologies

Emusio may use cookies and similar technologies to:

  • Improve the user experience

11. Children and Young People

Emusio provides music education services that may be used by children and young people.

Users under 18 should use Emusio with the involvement and permission of a parent or legal guardian. A parent or guardian may be required to create or manage the account, make bookings, provide consents, and manage payments.

Children under 13 must not independently create an Emusio account or provide personal information without verifiable consent and involvement from a parent or legal guardian.

Google Sign-In is optional. Children under 13 must not independently use Google Sign-In to access Emusio. Where an account is required for a child, it should be created or managed by their parent or guardian using an appropriate non-Google registration method.

If we become aware that personal information has been collected from a child without the necessary parent or guardian consent, we will take reasonable steps to delete it.

Parents and guardians may contact us to:

  • Review information associated with their child

  • Correct inaccurate information

  • Withdraw consent where applicable

  • Request deletion of the child’s information

12. Access, Correction, Account Deletion, and Data Deletion

You may request access to, correction of, or deletion of personal information held by Emusio.

  • The email address used for your Emusio account

  • The type of request you are making

  • Any information reasonably required to identify your account

Identity verification

To protect users from unauthorised requests, we may ask for information or documentation reasonably necessary to verify your identity. Please do not send identity documents unless requested.

Processing your request

Once your identity has been verified, we will respond to and process your request within a reasonable period. We aim to complete verified deletion requests within 30 days.

Deleting your data may:

  • Deactivate or permanently close your account

  • Cancel access to bookings, lesson records, credits, courses, notes, or other platform features

  • Prevent us from continuing to provide services to you

We may retain limited information where reasonably necessary or legally required, including:

  • Transaction, taxation, and accounting records

  • Records required to establish or defend legal claims

  • Fraud-prevention and security records

  • Records of consent, requests, and complaints

Where information must be retained, it will remain protected and will not be used for unrelated purposes.

We may also de-identify information so that it can no longer reasonably identify an individual.

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy or as required by law.

Retention periods may vary depending on:

  • Whether your account remains active

  • The type of lesson, event, transaction, or service

Please do not publish personal, confidential, or sensitive information in public areas of the platform.

Messages sent through Emusio may be processed and stored as necessary to deliver the messaging service, protect users, address complaints, and investigate misuse.

Emusio may contain links to third-party websites, applications, or services.

We are not responsible for the privacy, security, or content practices of independent third parties. We encourage users to review the privacy policies of any external services they choose to use.

16. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to:

  • Emusio’s services or features

  • Our information-handling practices

  • Applicable laws or regulatory requirements

  • Third-party services used by Emusio
